Set up your company, trucks and drivers
Upload your company logo, add trucks with automatic VIN decoding, keep maintenance due dates current, and add drivers with just a phone number.
Company logo
In Settings → Company, use the Logo field to upload a PNG, JPG or SVG up to 2 MB. It’s saved as soon as it uploads and shows next to your company name in the app.
Add a truck
- Open Trucks & trailers and press Add truck.
- Type the 17-character VIN and move to the next field. freightline looks the VIN up with NHTSA and fills in year, make and model — only fields you left empty are filled. If NHTSA flags the VIN or the lookup fails, you’ll see a note; fill the details in by hand.
- Add the unit number, plate and the rest, then save. Keep the VIN and unit number filled in so an ELD can match the truck.
Maintenance due dates
On a truck’s page, the Maintenance section works out what’s due from the odometer. With an ELD connected, the odometer comes from the ELD. Without one, freightline uses the highest reading from your service log (the odometer on logged services and repairs, or a service’s Odometer then) and marks it “from service log”. Logging services with the odometer keeps due dates current.
Add a driver
- Open Drivers and press Add driver.
- A phone or an email is enough. Email (optional) can stay empty for drivers who don’t use email.
- No email means no driver-app login. Add the email later in Edit driver and set a password to give the driver app access (see Driver app on the phone).
Demo data
Load demo data in Settings → Company fills a new company with sample trucks, drivers, loads, fuel and expenses marked (demo). It’s left out of the IFTA report and every file on Reports & export, and Remove demo data deletes exactly those rows.
