What goes on a rate confirmation
A rate confirmation is the written agreement for one load between a broker and a carrier. It sits under the broker-carrier agreement the two have signed, if any, and is what the carrier bills against, so anything missing from it is hard to get paid for later.
- The parties: broker and carrier names, MC numbers (and the carrier’s USDOT number), phone, email and the person handling the load.
- The load: load number, equipment type, temperature for reefer freight, commodity and weight.
- Every stop: name and address, date, appointment time or open window, and the pickup or PO number the facility will ask for.
- The money: the linehaul rate and each agreed accessorial with its amount or rule (for example detention per hour after the free time), and the total.
- Terms and instructions: when and how the carrier is paid, what paperwork is needed for payment, tracking requirements and any other conditions.
For carriers
Read the broker’s rate con before you sign it, not after you deliver. If a detail changes on the road (an extra stop, a long wait, a reschedule), ask for a revised rate confirmation in writing; that revised copy is what lets you bill the extra on the invoice.
When the load delivers, bill it with the trucking invoice generator. Need the shipping paper? Use the bill of lading template. Not sure the rate is worth it? Check it with the rate per mile calculator, and look up the broker’s authority with the MC / DOT lookup.
Frequently asked questions
Is the rate confirmation template free? Do I need an account?
Yes, it is free and there is no sign-up. Fill it in and download the PDF, print it, or download a blank rate con to fill in by hand.
Is my data sent anywhere?
No. The total and the PDF are made in your browser. Nothing you type is uploaded or saved on our servers, and it is gone when you close the page.
What is a rate confirmation?
A rate confirmation (rate con) is the document a freight broker sends a carrier to confirm one load: who the parties are, where and when to pick up and deliver, the equipment, the agreed rate and accessorials, and the payment terms. The carrier signs and returns it before the load is dispatched.
Who sends the rate confirmation, the broker or the carrier?
Normally the broker sends it and the carrier signs it. Carriers can use this template to put a load booked by phone in writing, or to check that the broker's rate con has everything that was agreed before signing.
What should I check before signing a rate con?
That the rate and every accessorial you agreed (detention, layover, extra stops, lumper, TONU) are written on it; that the pickup and delivery addresses, dates and appointment times match what was booked; that the load and reference numbers are there; and that the payment terms and any fines or penalties in the instructions are ones you accept.
How is the rate per mile worked out?
The total rate (linehaul plus accessorials) is divided by the miles you enter and rounded to the cent. Enter the loaded miles to compare loads; to include the empty miles to the pickup, add them to the miles.
