Add fuel purchases and expenses by hand
Log a fuel purchase with gallons, price and state or province, attach the receipt, and record expenses like lumper fees, parking and scales or truck washes.
Fuel card imports cover most purchases, but cash fills, lumpers and scale tickets still get typed in. Both forms feed the dashboard’s cost numbers, and fuel also feeds the IFTA report.
Add a fuel entry
- Open Fuel & IFTA and press Add entry.
- Pick the date, driver and truck, then the State / province where you fueled. US states and Canadian provinces are both in the list, so the purchase earns its IFTA credit in the right jurisdiction.
- Enter Gallons and Price/gal. Total fills in as gallons × price. If your card gave you a discount, type the real total over it; clear the field to go back to the calculated amount.
- Under Receipt (optional), attach a PDF or photo of the receipt (up to 10 MB), then save. You can view or replace it later from the entry.
Add an expense
- Open Expenses and press Add expense.
- Choose the Category. Besides insurance, repairs, tolls and the rest, there are Lumper, Parking & scales and Truck wash for the small road costs that add up.
- Fill in the amount, description and vendor. Pick a Truck to charge the cost to that truck, or leave it empty for company overhead. Attach a receipt if you have one, then save.
Common questions
Why doesn't the total match gallons × price?
Someone typed a total by hand, which is normal for discounted fuel card purchases. Clear the Total field to recalculate it.
