Import fuel receipts by email or CSV
Forward fuel card invoices to your freightline fuel address, set up a Gmail filter to do it automatically, or import a fuel card CSV export.
Every company gets its own fuel import email address. Forward fuel card invoices and weekly transaction reports to it and freightline reads every transaction into Fuel & IFTA. Owners and accountants can set this up.
Find your address
- Open Settings → Import (or press Import by email on the Fuel & IFTA page).
- Under Fuel bills by email, copy the address. If the section says email import isn’t switched on for your workspace, contact us.
- Forward a fuel invoice to it. PDF and image attachments (PDF, PNG, JPG, WEBP, HEIC) up to 10 MB each are read. The last emails appear under the address with their result.
Forward automatically from Gmail
- Gmail → Settings → See all settings → Forwarding and POP/IMAP → Add a forwarding address, and paste your fuel address.
- Gmail sends a confirmation email to that address. It shows up in the Fuel bills by email section within a minute — use the code or link it contains to confirm.
- Filters and Blocked Addresses → Create a new filter. In From, put your fuel card’s billing email, tick Has attachment, then create the filter and choose to forward it to your fuel address.
You can also ask your fuel card company to CC the address on every invoice.
Import a CSV instead
Under Import fuel card transactions on the same page, press Template to see the columns, then choose your fuel card’s CSV export (2 MB max). You get a preview before you import. Fees and discounts are skipped. On the Fuel & IFTA page, Upload report also takes a PDF or photo of a fuel report (up to 10 MB) and lets you review the transactions before importing.
